How do the event ratios work?
Take the guest count, divide by 50, round up. That is the base for an event up to four hours. For each additional two hours, add one unit per 100 guests, because the same doors have to absorb more visits. Then add roughly 15 percent if alcohol is served.
A worked example: 300 guests, six hours, beer and wine. Base is six units. Two extra hours adds three. That is nine, times 1.15 for alcohol, which rounds up to eleven. Add one ADA unit and four hand wash stations.
Why does the event type matter as much as the number?
Because peaks differ. A festival crowd moves through steadily all day. A seated dinner or a sports event breaks all at once, and the whole crowd arrives at the units within ten minutes.
If your event has a defined break, round the count up rather than down. The ratio describes average demand, and a simultaneous break is not average.
Where should the units go?
Two or three banks across the site rather than one row. A single bank produces a single long queue, and guests on the far side of the site will not walk to it.
Position them downwind of food service but still clearly visible. Hidden units create congestion at whichever ones people can find, which looks like a capacity problem but is a signage and placement problem.
What about lighting?
Plan for it on anything running past dusk. Most units have a translucent roof panel for daylight only, so after dark they are unusable unless the surrounding area is lit.
